6 Ways to Avoid an Event Coordination Nightmare

Whether you are a Concert Planner, Event Coordinator,  or even a Music Promoter, There’s a likelihood that you will have to work with security issues or security planning at some point.

It’s nerve-racking to think of something bad happening at your event but let’s face it, it needs to be on the top of our minds when planning any event. There are ways to plan ahead to keep everyone safe and create an enjoyable and memorable event.

Here is a few tips to help you stay organized and make sure your event goes safely without a hitch. ­­­

1. Hire Professional Security – While this seems like a no brainer it’s important to note--Do your homework on security staff. Make sure they are well trained, professional and are the right kind of security staff to handle your specific event. The last thing you want is a complaint or even a lawsuit from an issue arising with the security staff. Outline situations and ways you would like security to handle them. Are they Hands on or Hands off type security? Finally what are their responsibilities in case of an emergency. Never leave your security staff guessing what their role is.

2. Create a spreadsheet of Contacts - This is a simple list of who your vendors will be, the name of the person expected to be at your event, and their work or cell number where they can be reached. This list is good to give to any event managers as well as your security staff.  Make it as detailed as possible.

3. Make photo ID’s Required - When you set up your event, and are letting vendors in to your event space, make sure you or your staff or security, verifies all photo ID’s from every vendor. 4. Keep an UPDATED list of all vendors -  Vendors can change the employee assigned to your event, and that’s ok. It’s a good idea to make it clear to your vendor at the start of your business relationship that any and all changes to staff MUST be registered or notified prior to the date of your event. Last minute changes can create an unstable environment for event planners and security. If you’ve been in the business of event planning, you know what that equals…Stress! So keep everything updated and current and make sure vendors do the same.

5. Know your venue layout - You’ve probably gone through it a couple times already when you initially started planning your event. As any veteran event coordinator will tell you, “go through it again”! This is especially important for security reasons as the set-up of your event

6. Customize Access cards for each event - Every event will have a logo or a design feel to it.
